Privacy Policy

HireTrack (“we”, “our”, or “us”), operated by TalkyTools, respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use the HireTrack applicant tracking and HRMS platform at hiretrack.talkytools.com.

1. Information We Collect

We collect information you provide directly:

  • Account data: name, email, password (hashed), organization name, role.
  • Hiring data: job postings, candidate profiles, resumes, notes, interview records.
  • HR data (post-hire): employee records, salary, statutory IDs (PAN, Aadhaar, UAN, ESIC), bank details, attendance, leave, performance reviews.
  • Usage data: log files, IP, browser type, pages visited.

2. How We Use Information

  • To operate, maintain, and improve the service.
  • To process payroll, generate salary slips, compute statutory deductions (PF, ESI, TDS).
  • To send transactional emails (account, password resets, job application notifications).
  • To comply with Indian statutory requirements (Income Tax, EPF, ESIC, Professional Tax).
  • To respond to legal requests and prevent fraud.

3. Data Sharing

We do not sell personal data. We share only with: (a) our hosting provider (AWS Lightsail); (b) authentication and email service providers we contract with; (c) when required by law or to protect rights and safety.

4. Data Retention

Account data is retained while your account is active. Payroll, statutory, and tax records are retained for at least 7 years per Indian Income Tax Act requirements. You may request deletion of non-statutory data at any time.

5. Security

We use HTTPS for all traffic, bcrypt-hashed passwords, role-based access control, and organization-scoped data isolation. No system is 100% secure; in case of a breach, we will notify affected users within 72 hours.

6. Your Rights

You may:

  • Access, correct, or export your data via the dashboard.
  • Request account deletion by emailing support.
  • Withdraw consent for non-essential processing.

7. Cookies

We use essential cookies for session authentication only. We do not use third-party advertising or tracking cookies.

8. Children

HireTrack is not intended for users under 18. We do not knowingly collect data from minors.

9. International Transfers

Data is stored on AWS infrastructure in the Asia Pacific (Mumbai) region. By using HireTrack, you consent to this storage location.

10. Changes

We may update this policy periodically. Material changes will be notified via email or an in-app banner. Continued use after changes constitutes acceptance.
